Each Renaissance Journey retreat may have Additional Terms and Conditions that apply specifically to that retreat.

These additional terms form an integral part of the agreement between Renaissance Journey and the participant and must be read together with these General Terms and Conditions.

Because each retreat may take place in a different country and may have different dates, payment requirements, cancellation conditions, accommodations, activities, and travel requirements, the applicable retreat-specific conditions will be provided in a separate Retreat-Specific Terms and Conditions Annex.

The applicable Annex will be available directly on the webpage for each Renaissance Journey retreat.

Before making a reservation, participants should review the Annex applicable to their selected retreat.

The Annex may contain specific information regarding the retreat dates, destination, deposit amount, payment schedule, payment deadlines, early-bird pricing, cancellation and refund conditions, accommodation conditions, minimum participant requirements, travel requirements, and other conditions specific to that retreat.

By making a reservation, the participant confirms that they have had the opportunity to review the General Terms and Conditions and the applicable Retreat-Specific Terms and Conditions Annex.

If there is a conflict between these General Terms and Conditions and the Retreat-Specific Terms and Conditions Annex, the Retreat-Specific Terms and Conditions Annex will prevail for that particular retreat.

1. Voluntary Participation

By registering for and participating in a Renaissance Journey experience, I acknowledge that my participation is voluntary and that I have had the opportunity to read, review, and understand this Release and Waiver of Liability before participating.

I understand that this Release and Waiver applies to the Renaissance Journey experience and to the activities included in the experience, including activities in which I voluntarily participate or which form an integral part of the program.

2. Assumption of Risk

I understand that participation in a Renaissance Journey experience may involve travel, transportation, yoga, Zumba and fitness activities, hiking, swimming, water activities, outdoor and nature experiences, excursions, adventure activities, cultural experiences, and other physical, recreational, or wellness activities.

I understand that these activities and experiences may involve inherent and foreseeable risks, including, but not limited to, falls, slips, accidents, physical injury, muscle strains, sprains, muscle pulls or tears, broken bones, back or joint injuries, heart attacks, illness, allergic reactions, water-related incidents, weather-related conditions, outdoor or environmental hazards, transportation incidents, equipment-related incidents, and other injuries or medical conditions, including serious injury, permanent disability, or death.

I understand that certain activities may take place in environments or locations outside the direct control of Renaissance Journey and may involve risks associated with terrain, weather, water, transportation, equipment, facilities, local conditions, or independent third-party providers.

I voluntarily choose to participate in these activities and knowingly assume the inherent risks associated with the activities and experiences in which I participate.

3. Health and Physical Condition

I acknowledge that I am responsible for determining whether I am physically and medically able to participate safely in the activities in which I choose to participate.

I understand that I should consult an appropriate healthcare professional before participating if I have a medical condition, injury, pregnancy, physical limitation, allergy, or other circumstance that may affect my ability to participate safely.

I agree to provide Renaissance Journey, its instructors, guides, or relevant activity providers with information concerning any medical, accessibility, allergy, pregnancy, injury, or other circumstance that I reasonably believe may affect my participation or safety.

I understand that I am responsible for respecting my own physical limits and agree to stop or modify an activity if I experience pain, discomfort, illness, or believe that continuing may be unsafe.

I understand that Renaissance Journey is not a medical provider and does not provide medical advice, diagnosis, treatment, or medical supervision.

4. Safety Instructions

I agree to follow reasonable safety instructions provided by Renaissance Journey, its retreat leaders, instructors, guides, activity providers, transportation providers, accommodation providers, and other service providers.

I understand that failure to follow reasonable safety instructions may increase the risks associated with participation.

5. Assumption of Risk and Release

To the maximum extent permitted by applicable law, I voluntarily assume the inherent risks associated with my participation in the Renaissance Journey experience and the activities in which I participate.

To the maximum extent permitted by applicable law, I release and waive claims against Renaissance Journey, and its owners, organizers, employees, instructors, retreat leaders, guides, contractors, representatives, and agents, arising from risks inherent in or ordinarily associated with the activities and experiences in which I participate, including risks arising from the acts or omissions of independent third-party providers, except where such release or limitation of liability is prohibited by applicable law.

Nothing in this Release and Waiver is intended to exclude or limit liability for an act or omission for which Renaissance Journey is legally responsible, or any legal right or remedy that cannot lawfully be excluded, waived, or limited.

6. Third-Party Providers

I understand that Renaissance Journey may arrange or work with independent third-party providers, including accommodation providers, transportation companies, local guides, excursion and activity operators, restaurants, instructors, wellness professionals, and other service providers.

I understand that these providers may operate independently and may have their own terms, conditions, safety procedures, rules, equipment, standards, and requirements.

I agree to comply with the reasonable rules and safety requirements of these providers while participating in the Renaissance Journey experience.

I understand that third-party providers are independent contractors and are responsible for the services they provide, including their facilities, equipment, personnel, operations, safety procedures, and applicable requirements.

To the maximum extent permitted by applicable law, I acknowledge that Renaissance Journey is not responsible for the independent acts or omissions of third-party providers, including their facilities, equipment, personnel, operations, or services, except where Renaissance Journey is legally responsible.

7. Transportation, Activities and Equipment

I understand that transportation included in or associated with the Renaissance Journey experience may be provided by independent third-party transportation providers and may involve inherent risks associated with roads, vehicles, drivers, traffic, weather, terrain, equipment, and local conditions.

I understand that transportation and activities arranged as part of the Renaissance Journey experience may involve inherent risks, including risks associated with roads, vehicles, boats, terrain, weather, equipment, facilities, and local conditions.

Where equipment is provided by Renaissance Journey or a third-party provider, I agree to use such equipment only as instructed and to follow all applicable safety requirements.

8. Changes, Modifications and Safety Decisions

I understand that Renaissance Journey or its retreat leaders may modify, postpone, restrict, or discontinue an activity where reasonably necessary for safety, operational, environmental, weather-related, supplier-related, or other legitimate reasons.

I understand that an activity may also be modified or excused where reasonably necessary due to my physical condition, illness, injury, accessibility needs, or other circumstances communicated to and assessed by the retreat leader in charge.

9. Emergency Medical Assistance

In the event of an emergency, I authorize Renaissance Journey or its representatives, where reasonably necessary and permitted by law, to contact emergency services or seek appropriate emergency assistance on my behalf.

I understand that Renaissance Journey is not a medical provider and cannot guarantee the availability, quality, or outcome of medical treatment.

I understand that any assistance provided by Renaissance Journey in contacting emergency services or obtaining emergency assistance does not constitute medical advice, diagnosis, treatment, or medical supervision.

I understand that I am responsible for my own medical expenses, including expenses relating to medical treatment, hospitalization, evacuation, or repatriation, except where Renaissance Journey is legally responsible.

10. Travel and Medical Insurance

I understand that Renaissance Journey strongly recommends that I obtain appropriate travel and medical insurance for the duration of my trip, including coverage for emergency medical expenses, medical evacuation, repatriation, trip interruption, and activities included in or undertaken during the experience.

I am responsible for reviewing my insurance policy and ensuring that it adequately covers my individual circumstances, the destination, and the activities in which I choose to participate.

I understand that Renaissance Journey does not provide travel or medical insurance and does not guarantee that any particular insurance policy will cover my circumstances, expenses, losses, cancellations, interruptions, medical treatment, evacuation, repatriation, or claims.

11. Acknowledgment and Acceptance

I acknowledge that I have had the opportunity to read and understand this Release and Waiver of Liability before participating in the Renaissance Journey experience.

I understand the nature of the activities and the risks involved and voluntarily agree to participate.

I confirm that the information I provide concerning circumstances that may reasonably affect my ability to participate safely is accurate and complete to the best of my knowledge.

I understand the nature and effect of this Release and Waiver and voluntarily agree to its terms to the maximum extent permitted by applicable law.

Where this Release and Waiver is accepted electronically, my electronic acceptance, including by checking an acceptance box or otherwise confirming my agreement, constitutes my acknowledgment and acceptance of this Release and Waiver, to the extent permitted by applicable law.

Renaissance Journey (“Renaissance Journey,” “we,” “us,” or “our”) is committed to protecting the privacy and confidentiality of the personal information entrusted to us.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, communicate with us, join our waiting list, register for a retreat, make a payment, or otherwise interact with Renaissance Journey.

When you make a payment, payment information is processed by our third-party payment processor, such as Stripe. We do not intend to collect or store your complete credit card number or security code on our own systems.

Payments made through our website may be processed by third-party payment providers, including Stripe.

Your payment information may be transmitted directly to the payment processor. Renaissance Journey does not intend to store complete payment card information on its own systems.

The applicable payment provider may collect, use, and retain personal and payment information according to its own privacy policy and terms.

We may share personal information with service providers where reasonably necessary to operate our business and organize your retreat. Some service providers may process or store personal information outside Quebec or Canada. Where applicable, Renaissance Journey will take the measures required by Quebec privacy legislation before transferring personal information outside Quebec.

1. Cancellation by the Participant

Participants who wish to cancel their reservation must submit their cancellation request in writing to Renaissance Journey, using the contact information provided on the website.
The cancellation date will be the date on which Renaissance Journey receives the written cancellation request.
Unless otherwise stated in the applicable Retreat-Specific Terms and Conditions Annex, the following cancellation schedule applies:
More than 120 days before the retreat: CAD $500 will be retained from the amounts paid toward the reservation.
Between 120 and 91 days before the retreat: 20% of the total retreat price will be retained.
Between 90 and 61 days before the retreat: 50% of the total retreat price will be retained.
60 days or less before the retreat: 100% of the total retreat price will be retained and no refund will be provided, except where required by applicable law.
The applicable cancellation amount reflects costs and commitments associated with organizing and reserving the experience, including amounts committed to accommodation providers, transportation providers, activity providers, guides, restaurants, venues, and other third-party suppliers.

When a participant cancels, any amount remaining after the applicable cancellation amount has been deducted will be refundable, subject to the applicable terms and applicable law.
Personal circumstances, illness, changes in personal plans, travel difficulties, or inability to attend the retreat do not automatically entitle a participant to a refund beyond the amount provided under the applicable cancellation schedule, except where required by applicable law.
Participants are strongly encouraged to obtain comprehensive travel insurance, including trip cancellation, trip interruption, medical, emergency evacuation, and baggage coverage, as appropriate for their destination and circumstances.

2. Rescheduling a Reservation

Instead of cancelling their reservation, a participant may request to reschedule their reservation to another Renaissance Journey experience or future date.
Rescheduling is subject to availability and must be requested in writing and approved by Renaissance Journey. A rescheduling request is not effective until Renaissance Journey has provided written confirmation.
Where approved, Renaissance Journey may allow the participant to transfer the amounts already paid toward a future Renaissance Journey experience, subject to the applicable availability, pricing, room category, supplier restrictions, and other conditions.
Any difference in price between the original reservation and the new experience or date will be payable by the participant. If the new experience or date has a lower price, any difference will not automatically be refundable and will be subject to the terms confirmed by Renaissance Journey in writing.
Rescheduling does not automatically preserve promotional pricing, Early Bird pricing, room category, or other special conditions unless expressly confirmed in writing by Renaissance Journey.
Rescheduling requests made 60 days or less before the scheduled retreat start date may be subject to additional restrictions or may not be available, depending on commitments already made to third-party suppliers.
Once a rescheduling request has been approved and confirmed in writing, the reservation will be subject to the cancellation and change terms applicable to the new experience or date.

3. Refunds

Where a participant is entitled to a refund under the applicable cancellation terms, the refund will be processed using the original payment method where reasonably possible.
Refunds will be issued after Renaissance Journey has determined the applicable refundable amount and, where relevant, confirmed the amounts recoverable from third-party suppliers.
Any applicable non-refundable amounts, cancellation fees, administrative fees, or other charges expressly identified in the applicable Retreat-Specific Terms and Conditions Annex may be deducted from the amount otherwise refundable.
Where a payment was made in a currency other than the currency in which the retreat price was stated, any refund may be affected by exchange-rate fluctuations and currency-conversion charges imposed by the payment provider, financial institution, or card issuer, to the extent permitted by applicable law.
Renaissance Journey will not be responsible for exchange-rate differences or fees charged by a participant's bank, credit card provider, or payment processor, except where required by applicable law.

4. Transfer of Reservation

If a participant is unable to attend the retreat, they may request to transfer their reservation to another person.
Any transfer must be requested in writing and approved in advance by Renaissance Journey g.p. A transfer is not effective until Renaissance Journey has provided written confirmation.
Transfers are subject to availability, the requirements and restrictions of accommodation providers, transportation providers, activity providers, and other suppliers, as well as any applicable administrative fees, price differences, or other charges.
The replacement participant must satisfy all applicable eligibility, registration, payment, travel, and other requirements for the retreat.
The original participant remains responsible for all outstanding amounts and applicable charges until the transfer has been officially confirmed in writing by Renaissance Journey.
A transfer does not automatically preserve promotional pricing, Early Bird pricing, room category, or other special conditions unless expressly confirmed by Renaissance Journey.

5. Unused Services

No refund or credit will be provided for services or components of the retreat that a participant voluntarily chooses not to use, including, where applicable, late arrival, early departure, missed activities, unused accommodation, unused meals, missed transportation, or other unused services, except where required by applicable law or expressly provided in the applicable Retreat-Specific Terms and Conditions Annex.
Participants are responsible for arriving at the designated locations at the times communicated by Renaissance Journey or the relevant service provider. Renaissance Journey is not responsible for a participant's failure to attend or use a service due to personal scheduling decisions, delays, or failure to follow the information provided, subject to applicable law.

6. Late Arrival

Participants who anticipate arriving after the scheduled retreat start time must notify Renaissance Journey as soon as reasonably possible.

Late arrivals may be accommodated only if arranged and approved in advance by Renaissance Journey. Approval cannot be guaranteed and will depend on the retreat itinerary, location, transportation logistics, accommodation arrangements, safety considerations, and other operational requirements.

Because the retreat program may include travel between locations during the experience, participants arriving after the scheduled start may be required to join the group at a different location. Where this occurs, the participant is solely responsible for arranging and paying for all transportation and other additional expenses required to reach the group, unless Renaissance Journey agrees otherwise in writing.

If the group has already departed a location or an activity, Renaissance Journey cannot guarantee that the participant will be able to join the group, participate in the missed activity, or access the accommodation or other services at that time.

Renaissance Journey will make reasonable efforts to accommodate late arrivals where practicable but does not guarantee that any activities, accommodations, transportation, meals, excursions, or other retreat components missed as a result of a late arrival can be provided, rescheduled, or replaced.

No refund, credit, price reduction, or other compensation will be provided for any accommodation, meals, activities, transportation, excursions, or other services missed due to a participant's late arrival, except where required by applicable law.

A late arrival does not extend the participant's reservation or the scheduled duration of the retreat, and missed portions of the experience will not be added to the end of the retreat.

7. Cancellation or Modification by Renaissance Journey

Renaissance Journey intends to operate each retreat substantially as described on the applicable retreat page and in the applicable Retreat-Specific Terms and Conditions Annex. However, circumstances may arise that require Renaissance Journey to modify, postpone, relocate, or cancel a retreat or one or more of its components.
Where Renaissance Journey makes a significant change to an essential component of a retreat or cancels a retreat, participants will be informed as soon as reasonably possible and will be provided with the options available under the circumstances and applicable law.
Depending on the circumstances, available options may include accepting a reasonable alternative arrangement, transferring the reservation to another date or retreat where offered, receiving a credit, or receiving a refund of amounts to which the participant is entitled under the applicable terms and applicable law.
Where a refund is applicable, the amount may depend on the amounts already paid to and recoverable from third-party suppliers, the services already provided, the circumstances giving rise to the change or cancellation, and applicable legal requirements.
Renaissance Journey will make reasonable efforts to minimize the impact of any necessary change or cancellation and to communicate material changes promptly. However, Renaissance Journey cannot guarantee that all services, activities, accommodations, transportation, schedules, or other components will remain unchanged.

8. Changes to Individual Retreat Components

Renaissance Journey may make reasonable changes to the itinerary, activities, accommodation, transportation arrangements, schedules, locations, or other non-essential components of a retreat where necessary due to operational requirements, availability, weather, safety considerations, supplier changes, local conditions, or other circumstances beyond Renaissance Journey's reasonable control.
Where reasonably possible, Renaissance Journey will seek to provide an alternative arrangement of comparable value or nature. Such changes will not automatically entitle a participant to a refund unless required by applicable law or expressly provided under the applicable Retreat-Specific Terms and Conditions Annex.

9. Force Majeure and Circumstances Beyond Reasonable Control

Renaissance Journey will not be responsible for delays, interruptions, modifications, additional costs, or cancellation resulting from circumstances beyond its reasonable control, including natural disasters, extreme weather, epidemics or pandemics, government actions or restrictions, political instability, civil unrest, strikes, transportation disruptions, supplier failures, changes in travel advisories, border restrictions, acts of terrorism, or other extraordinary circumstances.
Where such circumstances affect a retreat, Renaissance Journey will assess the available options and communicate them to participants as reasonably possible, subject to the applicable Retreat-Specific Terms and Conditions Annex, supplier terms, and applicable law.

10. Retreat-Specific Cancellation and Refund Terms

Each retreat may have its own cancellation deadlines, refund conditions, payment schedule, rescheduling options, transfer rules, and other applicable terms based on the destination, accommodation, suppliers, activities, and other arrangements involved.
Where different cancellation or rescheduling conditions apply to a particular retreat, those conditions will be clearly set out in the Retreat-Specific Terms and Conditions Annex linked to the applicable retreat page and will apply to that reservation.
By making a reservation, participants acknowledge that they are responsible for reviewing the applicable Retreat-Specific Terms and Conditions Annex before completing their booking.
